Description



Note: This recruitment is for two positions within the Sixth Judicial District. One position resides in Hermiston, and the other position resides in Pendleton.


These are Judicial Services Specialist 3 positions with the Umatilla County Circuit Court in the Sixth Judicial District.


This purpose of these positions is to perform a wide variety of skilled clerical or administrative support duties relating to court operations.



Duties & Responsibilities




Typical job duties may include, but are not limited to, the tasks listed below. Assigned tasks may be changed to accommodate workload and organizational needs.


Data Entry and Case Processing




+ Maintain workflow and data entry of assigned case types.

+ Examine all paperwork for accuracy.

+ Process pleadings and documents.

+ Enter all case data into the electronic case management system.

+ Route court filings and other paperwork to judges.






Customer Service and Cash Handling



+ Provide court forms at the customer service counter.

+ Respond to requests for information from the general public, attorneys, agencies and other litigants.

+ Handle monies received in person and via phone.

+ Credit check, cash, and credit card payments to appropriate accounts.

+ Balance cash drawer and all transactions and prepare bank deposit daily.






Courtroom Support



+ Provide coverage in the courtroom.



+ Monitor recording equipment of all court proceedings; ensure accurate record captured on recording.

+ Swear witnesses.

+ Mark and maintain exhibits.

+ Perform data entry in real time.

+ Prepare Uniform Criminal Judgments in real time or in advance of sentencing.








+ Attend to juries as bailiff.

+ Assist with jury support duties in and out of the courtroom as needed.




All other duties as assigned.



Working Conditions


This is a full-time position, and the work schedule is 8:00 a.m. to 5:00 p.m., Monday through Friday. It is eligible for overtime compensation for hours worked in excess of 40 per work week.





Occasional overtime work may be required.


Overnight travel may be required.



Local travel may be required within any of the Sixth Judicial District's three court locations (Pendleton, Hermiston, and Heppner).



You must have a valid driver's license and an acceptable driving record or be able to provide an acceptable alternative means of transportation.



Frequent phone and in-person contact with people from diverse backgrounds.



Frequent phone and in-person contact with people who may at times be angry, hostile, confused, or frustrated.



Lifting up to 25 lbs. of office materials or equipment may be required.



Frequent bending or reaching below knee level or above shoulder height may be required.



Long periods of sitting required (a significant amount of the working day is spent keyboarding and operating office equipment).




The following equipment may be used: telephone, calculator, personal computer, copy machine, fax machine, and scanner.





Qualifications, Required & Requested Skills




Minimum Qualifications


The qualified candidate must have at least two years of responsible, clerical experience in a moderately complex office or business setting involving the processing of financial, administrative, or legal documents.


AND


Possession of a high school diploma or GED, or equivalent life or work experience.


OR


Any combination of education and experience equivalent to three (3) years that supports the knowledge, skills, and abilities for this position.

+ Experience working for the Oregon Judicial Department.

+ Experience working for a municipal or justice court, or another state's court system.

+ Experience safeguarding confidential, sensitive, or controversial information.

+ Experience handling cash and other forms of payment, and crediting customer accounts.

+ Skill working at a fast pace while maintaining accuracy.

+ Skill performing clerical or administrative tasks accurately in a business or professional setting for a minimum of six months.

+ Skill communicating with a variety of individuals in challenging situations.

+ Skill explaining complex rules, policies, procedures, or processes to individuals who have difficulty understanding.

+ Proficiency meeting deadlines in a fast-paced, high-production business or professional environment.

+ Proficiency with regular and recent use of computers and software programs to access and input information, perform research, and complete a variety of tasks.

Salary

The Judicial Department's practice is to begin employees at the first pay step. However, a higher starting pay rate may be considered depending upon the applicant's education and experience.
